These Terms and Conditions govern all trips, treks, tours, and adventure activities booked through Nepal Calls You ("we," "us," "our," or "the Company") with nepalcallsyou.com. By booking a trip with us, you ("you," "your," or "the Client") agree to be bound by these terms.
Definitions

Trip means any trek, tour, hike, expedition, or adventure activity booked through nepalcallsyou.com.

We, us, and the Company refer to Nepal Calls You.

You and the Client refer to the traveler(s) named on the booking.
Booking and Payment
To confirm a booking, we require:

A completed online booking form

A photocopy of your passport

A deposit of 25% of the total trip cost
Your booking is confirmed only once the deposit is received and we have sent written confirmation.
Payment methods: bank transfer, Wise, or credit/debit card. Card payments carry an additional 10% processing fee.
Balance payment: The remaining balance is due on arrival in Kathmandu, unless otherwise agreed in writing.
Cancellation by the Client
Cancellations must be made in writing (email is acceptable). The cancellation date is the date we receive your written notice. The following charges apply, calculated as a percentage of the total trip cost:

Your deposit is non-refundable in all cases.
Trip Postponement
If you're unable to travel on your booked dates, you may postpone your trip once, free of
charge, to a later date of your choosing, provided you notify us at least 7 days before
departure.
Your deposit carries forward as credit toward the new date.
Cancellation or Alteration by Us
We reserve the right to cancel or postpone a trip due to insufficient group numbers, permit restrictions, government regulations, or safety concerns. In such cases:

If we cancel, you receive a full refund or the option to reschedule.

We will notify you as early as possible, and no later than 7 days before departure where circumstances allow.
We also reserve the right to alter an itinerary, or cut a trip short, if necessary for your safety or the safety of the group, at our reasonable discretion. No refund is owed for the unused portion of a trip altered or shortened for safety reasons.
Health, Fitness, and Medical Disclosure
You must inform us in writing, before booking, of any medical condition, disability, allergy, mobility limitation, recent surgery, pregnancy, or other condition that may affect your ability to complete the trip safely. We may request a medical certificate for high-altitude treks. If a relevant condition is not disclosed and later affects your trip, we reserve the right to remove you from the group without refund if your condition may endanger you or others.
Travel Insurance
Comprehensive travel insurance is mandatory for all trekking, climbing, and high-altitude trips. Your policy must cover, at minimum:

Emergency evacuation, including helicopter rescue where relevant to your trip's altitude

Trip cancellation or interruption

Loss of or damage to baggage and equipment
We may request proof of insurance before departure and may decline to proceed with a client who cannot provide adequate cover.
Passport, Visa, and Permits
Your passport must be valid for at least six months beyond your planned departure from Nepal. We arrange trekking permits (such as TIMS, national park, or restricted-area permits) as part of your booking, using the passport and personal details you provide. We are not responsible for denied entry, denied permits, or other consequences resulting from incorrect or incomplete travel documents on your part.
Liability and Assumption of Risk
Trekking, Hiking, and Adventure Activity in Himalaya carry risks including but not limited to altitude sickness, weather, terrain, and remoteness from medical care. By booking with us, you acknowledge and accept these risks. We are not liable for injury, illness, loss, damage, delay, or death arising from circumstances beyond our reasonable control, including weather, natural disaster, government action, strikes, or third-party service failures.
Force Majeure
We are not liable for failure to perform our obligations where this is due to circumstances beyond our reasonable control, including but not limited to natural disasters, epidemics or pandemics, civil unrest, war, or government restrictions. In such cases, cancellation terms under Section 3 or Section 5 apply as relevant.
Privacy
We collect personal data, including passport and health information, solely for the purpose of trip planning, permit processing, and legal compliance. See our Privacy Policy for full details.
Governing Law
These Terms and Conditions are governed by the laws of Nepal. Any dispute arising from these Terms or a booking with us is subject to the jurisdiction of the courts of Nepal.
